MY Services

proofreading - SCOPING - TRANSCRIPTION

I proof using PDF annotation software and edit directly onto the PDF using red ink and yellow highlighting, or directly into CaseCAT. My scoping work is restricted to CaseCAT, but we can talk about working with other software. My transcription is done in Word or CaseCAT, depending on requirements. My standard resources are: Morson’s, The Gregg Reference Manual, books by Margie Wakeman Wells, Merriam-Webster Dictionary, and NCRA Guidelines. To guarantee I am proofing or scoping to your standards, I encourage my clients to fill-in my Reporter Preference Sheet, or provide me with one you have already created. For transcription guidelines I default to court/state/federal requirements.

Proofreading and scoping includes line-by-line review for: FORMATTING. This includes spacing, alignment, page breaks, line breaks, and standardizing addresses. SPELLING. I look for consistency, and perform research to confirm spellings of names and places. PUNCTUATION. I look for correct usage of parentheses, commas, semi-colons, quotation marks, and hyphens to ensure maximum readability. CAPITALIZATION. I am on the lookout for proper nouns, generic vs. brand name medications, legal titles (Court, Defendant, Plaintiff, etc.). WORD USAGE. Words get dropped, and words get swapped, and sometimes misstrokes happen. Keeping verbatim record in mind, I will look for missing words, incorrect words, and spelling errors. DOCUMENTS. I will double-check accuracy and consistency of all dates, names, addresses, page numbers, and exhibit numbers used throughout the transcript. I will make sure the title page and notice are in agreement, that exhibits are marked, and that the Certificate of Oath & Reporter's Certificate are included.

RATES and POLICIES

Rates apply to transcript pages with 28 lines or less. For pages consisting of more than 28 lines, an additional fee of $0.05 per page will apply.

availability

Meeting your deadline is very important to me. Prior to sending your work, please contact me with the length of the job and expected due date so I can confirm I have room in my schedule to accommodate your request. For your convenience, I accept work on Saturdays and Sundays at no additional charge. If you have other proofreading needs or questions about additional services, please feel free to ask me.

turnaround

Turnaround rates for proofing and scoping are based on Pacific Standard Time and will be calculated based on when the job is received.  Jobs are received by me between the hours of 8 a.m. and 5 p.m. PST. Unless previous arrangements have been agreed upon, jobs received after 5 p.m. PST will be logged in as received at 8 a.m. the next business day. For example, if you send a transcript to me at 11 p.m. PST on Monday, I will receive the job at 8 a.m. on Tuesday. If you are requesting standard turnaround, your transcript will be completed and returned to you no later than Friday at 8 a.m.

If your job is larger than 200 pages, or if you have a rush or expedited job, I will suggest that you send the transcript in smaller batches of 50 pages or less so I can be working on it alongside you.  This will speed up total turnaround time and may even save you money, as rates will be based on when each portion of the transcript is received.

preferences

I will proofread or scope your transcript according to your preferences along with my preferred resources. If you don’t already have a preference sheet prepared to send me, I will send one to new clients to fill in and return. Preference sheets improve communication and help me learn your preferences more quickly.

extra charges

For proofreading, transcripts should be scoped and as close to turn-in ready as possible when submitted to me.  Unpolished transcripts (those that average errors on 70% or more of pages) may be charged an additional $0.10 per page at my discretion. I will notify you as soon as this comes to my attention so we can discuss our options before proceeding.

I appreciate forewarning of transcripts with extensive technical language (medical, legal, or expert witness). In extreme situations, these may be subject to an additional fee of $0.10 per page if an unnecessary amount of research is needed. If I feel this is necessary, I will notify you immediately to confer. You may prefer you or your scopist verify all technical terms are spelled and used correctly so that I am only checking for common errors.

billing

Clients will be invoiced upon completion of the job, and payment is due within 7 days. We can discuss which form of payment will work best for both of us, as there are many options today. A late fee will be applied for each 30 days payment is overdue.
